Events Overview
This screen provides information about the events
that you have made.
The top half of the screen (known as the form), shows the details for the event that is
selected in the table that is in the bottom half of the screen. In the middle of the screen
is a filter. By right-clicking in the table, you open a context menu
where you can do things with your events. You can activate the
events screen using CTRL+SHIFT+0.
Special things to note about the top half of the page:
- The top right contains a table that shows a list of the
sales orders contained in the selected event.
This table has its own context menu which you can open by right clicking on
the table.
This table has the following columns:
- ID - The sales order ID
- Customer - The name of the customer relating to this sales order
- Payment Type - The type of payment that the customer made
- Payment Reference - The reference for this payment, for example a credit / debit card
transaction reference or a payment slip reference number for invoice payments
- Paid - The date and time when payment was made
- Value - The total value that the customer paid for this sale
- On the left of the form there is combo box for selecting the type of event. If there is no suitable
type, then simply enter a new type in the box.
- The event host must be a customer. You can create a new customer by clicking on the "new" button. Even
if this person/company is not a customer, adding them as one allows you to track their details.
Being a host to an event also means it is quite likely that they will become a customer of yours.
- The location box in the form can be used to enter details about where the event is being held. This
can be useful if you are taking an event booking and need to make a note of where it is.
Right clicking on the table at the upper right of the screen gives you a menu for performing actions on
sales order items:
- Show Sales Order - Activates the sales screen and selects the
sales order that relates to this row.
- Add another Sales Order to this Event - Opens the Sales Wizard
and preselects the selected event so that you only need to add a customer before adding items to
the cart.
- Mark as Paid - Sets the payment date of the sales order to now.
You can alternatively enter or adjust the date by first showing the sales order and then
making the change in the sales order the form. This option is only active if the sales order
has not been paid.
In the middle of the screen is a filter. You can type search text there and it will limit what is shown in the
table below. Click on the
icon for more information. The number in brackets, in the
header cell of the ID column of the table indicates how many rows match the given filter.
If the filter is empty, then this number is the total number of events that you have.
If the cursor is in the filter, you can use the down arrow to move focus into the table.
The table in the bottom half of the screen has the following columns:
- ID - The Event ID, as generated by BookStore
- Type - The type of event that it is, for example a party, an exhibition, or a sales channel like
internet, shop, market.
- Host - The customer hosting the event. Even if the organiser does not purchase anything from
you, you can still manage their details as though they were a customer.
- When - The date of the event. If the event takes place over several days, then it is suggested
you use a convention like the start date or the end date. Enter more details about the period in
the event form.
- Total - Total sales at the event. Sales revenue. The sum of all sales orders for that event.
You can sort rows in the table by clicking on the header cell of the column you wish to sort by, for example to
sort by "Value", click on the column header in the table. To reverse sort, click the header again.
Selecting an event in the table shows you its details in the form.
Right clicking on the table in the lower half of the screen gives you a menu:
- New... - Opens the New Event Dialog
allowing you to create a new event.
- Add another Sales Order to this Event - Opens the Sales Wizard
and preselects the selected event so that you only need to add a customer before adding items to
the cart.
